Most budget filing cabinets use 35-millimeter slides that look the same from the outside but carry a lower rating. The difference is invisible until the drawer starts grinding against the frame. Ask for the slide rating in the spec sheet, not just the slide type.

Mistake 2: Lock system that does not match the file format

A lateral filing cabinet with a central lock locks all drawers at once, which is correct for most offices. But a vertical filing cabinet with individual locks per drawer creates a different problem: the office manager has to unlock each drawer separately, and the key gets lost after the first month. The correct spec depends on the file format and the office workflow.

For A4 and Letter size files, a central lock with a single key is standard. For legal-size files that are accessed less frequently, individual locks make sense because the legal drawer stays locked most of the time. For offices with multiple users, a keyed-alike system where one key opens all cabinets in the department is more practical than individual keys per cabinet.

Mistake 3: Drawer depth does not match the file folder size

A drawer that is 5 millimeters too shallow for the file folders forces the folders to sit at an angle, which bends the tabs and makes the labels unreadable. A drawer that is 20 millimeters too deep wastes space and lets the folders slide to the back where they get lost. The correct depth is the file folder height plus 10 millimeters of clearance.

Mistake 4: Powder coat that scratches in the first year

The color also matters for scratch visibility. Light grey and beige hide scratches better than black or dark brown because the primer layer is lighter. If the office has high traffic or the cabinets are in a shared corridor, choose a lighter color and a thicker coat.

Mistake 5: No anti-tip design

Our fire-resistant filing cabinets carry a 60-minute fire rating and are designed for document storage rooms that require compliance with fire safety regulations.
